This policy explains what information we collect, how we use it, and your choices. It applies to the AcademiaX Press website and dashboards.
Who we are
AcademiaX Press operates this website. If you have privacy questions or requests, contact privacy@academiaxpress.com.
What we collect
- Account data: email address, display name (optional), organisation membership, and role (reader/reviewer/author/editor/admin/owner).
- Access requests: your email, requested org slug (optional), and the message you submit.
- Content you submit: prompts, manuscript text, or metadata you provide when creating papers or CMS content.
- Operational data: basic logs needed to run and secure the service (e.g., request timing, error traces, and abuse prevention signals).
How we use your data
- Provide login sessions and role-based access control.
- Process and publish content you request (papers, pages, journals, and related assets).
- Verify citations and sources (e.g., DOI lookups via scholarly metadata services).
- Maintain service reliability, prevent abuse, and troubleshoot issues.
AI processing
When you use AI features (e.g., create paper, review, rewriting), we may send portions of your input and selected citation metadata to configured model providers (for example, Google Vertex AI or OpenAI) to produce outputs. You should avoid submitting sensitive personal data unless required for your work.
Storage and vendors
We operate on Google Cloud Platform. Depending on configuration, data may be stored in managed databases and object storage (for example, Firestore and Cloud Storage) and processed by enabled providers for AI or citation verification. We aim to minimise collection and limit access based on least privilege.
Cookies and local storage
We use essential cookies for session management and to remember preferences such as cookie consent. For details, see Cookie policy. Cookies are scoped to the domain you are using (for example, academiaxpress.com) and cannot be shared with unrelated fallback deployment URLs.
Data retention
We retain data only as long as necessary to operate the service, meet legal obligations, and maintain the integrity of published records. Published content may be retained long-term to preserve the scholarly record.
Security
We use role-based access control (RBAC), secure transport (HTTPS), and standard cloud security controls to protect data. No system is perfectly secure; if you believe you have found a vulnerability, contact security@academiaxpress.com.
Your choices and rights
- Request access, correction, or deletion of your account data.
- Withdraw cookie consent by clearing site data in your browser.
- Ask questions about how a specific paper or page was generated.
Changes
We may update this policy as the platform evolves. Material changes will be reflected on this page.
